What is a pre-shipment inspection?

Pre-shipment inspection, also known as the final random inspection, is a series of product quality checks conducted before the shipment of goods.

This final inspection is usually conducted at the factory or supplier’s warehouse when the goods are 100% produced and 80% packed.

at HUACI Sourcing, we provide a detailed quality inspection report within 24 hours after the inspection, allowing the buyer to decide whether to accept the goods and pay the balance.

What are the benefits of pre-shipment inspection for buyers?

  • Ensure the goods are produced according to the contract
  • Avoid supplier scams or final payment for defective products
  • Prevent shipment delays due to product quality issues
  • Ensure product packaging and labeling meet import and export regulations
  • Prove the original condition of the goods to the insurance company if the goods are damaged in transit

What is the procedure of pre-shipment inspection?

Our inspectors perform each pre-shipment inspection under standard procedures, without exception.

Step 1: On-site Visit

The inspector arrives at the designated inspection location and assesses whether the site is suitable for inspection.

Step 2: Produced quantity verification

The inspector counts the number of cartons to verify the produced product quantity. The confirmed packaging quantity ensures the accuracy of the data on the shipping documents.

Step 3: Random Sampling

Our inspectors follow the globally accepted ANSI/ASQC Z1.4 (ISO 2859-1) sampling procedure to determine how many samples to take from each shipment for closer inspection.

Step 4: Appearance and workmanship checks

Once sampling is complete, our inspectors will first visually identify if there are any defects, which will be photo-documented and categorized according to severity as critical, major, and minor.

Step 5: Conformity checks

At this stage, the quality inspector checks if the product is in line with the contract requirements. The checklist usually includes size, material, construction, color, weight, and labeling.

Step 6: Functional Test

Depending on how the product is intended to be used by the end-consumer, the inspector will test its corresponding functions, such as the load-bearing capacity of the backpack, the operation of the machine, the water-tightness of the water bottle, etc.

Step 7: Safety Test

Safety testing is divided into two types: mechanical and electrical. Mechanical safety testing focuses on whether there are sharp edges or moving parts that can cause harm to the user. The electrical safety test is aimed at the performance of electrical products in terms of high voltage and insulation.

Step 8: Inspection Report

Within 24 hours after the inspection is completed, a detailed report will be provided to the buyer, including the product's actual specification and pictures of any defects found.
